Client Background

Client is a Joint Venture between an Indian Conglomerate, and a Multinational firm from Japan. It was started with a mission to manufacture and supply of rotary equipments like Process Pumps, Steam Turbines, Fans, Blowers etc. required for critical applications in Hydrocarbon Processing Industries and for Power Projects.

Pre-implementation Status

As the pumps manufactured by Client have industry specific applications, usually these pumps are made to order. Once any order was finalized, the Engineering Department created a Summary Sheet for each Pump at the time of project kick-off meeting. A project may have several pumps and for each pump a separate Summary Sheet was created. This Summary Sheet contained the status of all activities associated with the pump across all divisions. The Sheet was filled and updated manually by the owner of the sheet. Similarly, Order Execution Sheets (No. 1 & 2) were created by the Engineering Department and maintained manually.

Need Analysis

As the work allocation and project scheduling activities were managed manually, there was no tool for project monitoring at micro level. As a result, it was difficult to provide precise status of the project at any point of time. Also, the person responsible for each activity from various departments of the company did not get to know the status and deadlines of his activities easily. In absence of any system for tracking the status of any project, was becoming a very time consuming and tedious activity. Therefore, Client was looking for an alternative solution to standardize the process.

Solution

PARAM Team analysed the process, and with its proven ability, successfully installed SmarTrack system for Client. The SmarTrack System installed at the Client Site is designed to track the status of every pump under process. The Summary Sheet & the Order Execution Sheets are created by the owners but each department gets the access to view the sheets. The update access for each entry is given only to the concerned person of the concerned department. Every person is able to view the status of his activities for all pumps under process through user friendly interface and reports. Alerts are sent to the users of the system as per the requirement each department. The reports generated by the SmarTrack System enabled the Top Management to quickly monitor the status of multiple projects at any given point of time.
