Engineering Data Management Solution

EDMS-Pro is designed to cater to all requirements of the Engineering Design Department within an organization. EDMS-PRO can be installed on the server and on all user machines. EDMS-Pro streamlines the Design Process and also ensures proper backup and retrieval of all design data. It also restricts access of data to all users and ensures data security as desired by the administrator. The tracking tool help in project planning and status monitoring. EDMS-Pro in a true sense, helps in shortening the design cycle by helping designers in quick search on the existing data, improving productivity of design team and optimum utilization of resources.
EDMS-Pro comprised of following software tools –

  1. SmartBackup:

  2. It ensures proper tape backup and retrieval of all design data whenever required. It restrict access of data to users and ensures data security as desired by the administrator. Here the user (Project Leader, Administrator or Design Head) will be able to assign frequency of backup and the number of versions to be maintained in the backup system for any project. While taking the backup on tapes, the system maintains log of data on each tape and whenever data is to be retrieved, the system prompts the administrator to load the designated tape in the drive.
  3. Real Time Synchronisation :

  4. This tool is designed to synchronise user data with the server data. Whenever user saves a file on his work-station a copy of the file is created on the server automatically. This ensures quick availability of files in case of any loss of data during project execution. The entire synchronisation process is user definable but is transparent during execution.

    RTS system consists of RTS Dashboard, RTS Service, and RTS Client service.
    • RTS Dashboard
      1. Add Sync folder Pairs
      2. Using RTS Dashboard, multiple sync folder pairs can be added.
      3. Link Sync folder Pairs
      4. Using Link Sync folder pairs, the server location of the project and location of client machine having project data can be paired. The location of client can be changed according to user needs and also all project data will also be moved to required client location.
      5. Sync folder Status
      6. RTS Dashboard provides all the status of the client machines whether it is activated or deactivated. It also provides the information about Sync folders which are available on particular client machine.
      7. Sync folder Link History
      8. Sync folder Link History consists of the information of all client machines previously having project data with date, time and duration.
      9. Backup interval settings
      10. RTM Dashboard provides facility of setting intervals for taking backup. There are two modes for taking the backup - Automatic and Manual. In Automatic Backup, some pre-defined time interval cab be set for scheduled backup. In Manual mode, user will take backup whenever required.
    • RTS Service
      1. Synchronization
      2. Synchronization service is heart of this system. Synchronization service actually reflects the changes made by user in Sync folders at client machine to the server.
      3. Reporting and Reconnection
      4. RTM Reporting service will inform the server if there is any connection failure between client machine and server. And RTM Reconnection Service will automatically reconnect the client machine with server.
      5. RTS Client Service
      6. This service provides information to client about client’s active projects. It also provides the facility to remove inactive projects automatically in order to avoid duplication of project data.
  5. SmartShare :

  6. This tool is designed to capture models/drawings/any document that may be reusable or may be referred later. Any document may be uploaded by the concerned person on knowledge base database along with description using SmartShare tool. SmartShare will be designed to ensure that there is no garbage collection in Knowledge base database. SmartSearch tool is designed to access knowledge base database as per the stream in which users wants to search the document. SmartSearch tool is very fast and easy way to search desired document as per user interest.

  7. LAKSHYA :

  8. Laksha Tool along with time sheet provides proper status of each project to the Design Head and also to the Project Leader handling individual projects. The Project Leader will start the project by preparing a project template. In this template project file folder structure will be defined properly e.g. models, drawings, documents related to project communication may be associated with the defined folder. While defining folder structure for a project it is possible to assign process and checklist for it. e.g for a drawing folder, Project Leader may assign a sequence of uploading, checking and approving. This means that the task will be completed only after completion of approval. Communication can be maintained under specific folder. This project template may be modified by the project leader anytime during the project lifetime.
    The Project Leader will assign work to the team members along with time allotted (in Hrs) for the task. When the work is assigned it becomes visible in the Time Sheet of the team member. When a team member completes a task, he/she will upload the model, drawing or document under specified head. While uploading if a checklist is assigned for the task, then the team member has to verify the document as per the checklist and only on certification he can upload the file. A feature is provided to attach any document with the file being uploaded. e.g. designer may like to attach a reference document used for creating the design with the model being uploaded. BOM will also be attached to the drawing. BOM for the entire project is be generated by the system as per company standards.
    At the time of uploading the file user has also to fill the time sheet for the given task. This time is then recorded against the time allotted for the activity. The Project Leader is able to view the status of his project through Laksha. Here he can get the status (completed, checked, released etc) of each subtask as defined. When the job is completed and sent for checking, the checker will be immediately notified accordingly on his screen. The checker, like designers and Project Leaders, are able to view pending work assigned to him/her through Laksha. If the person who is assigned an important task which needs timely attention does not finish the task in time then notification is sent to his senior in the hierarchy. If the Time Sheet is not filled by the employee in timely manner, then a notification is sent to the employee as a reminder. If the reminder is ignored then the next in the hierarchy gets notified.
  9. EDMS-PRO Shell :

  10. This tool is a part of the EDMS-PRO System graphical user interface which allows users to view and manipulate basic system settings and controls via applets, such as adding rules, adding and removing users, controlling user accounts, and changing accessibility options. Additional applets can be provided by PARAM if it is required for upgradation/addition of System/software.
